Open position: Research Coordinator – Deadline 16 February 2025

Background

The Research Coordinator plays a key role in supporting the Science Strategy and Management Group as well as responsible Scientists (e.g., Core Group Leaders, Subtopic Speakers) by managing a range of administrative tasks. The focus of this role is on facilitating collaboration, overseeing logistics, and managing procurement. Combining organizational, administrative, and strategic responsibilities, the Research Coordinator ensures effective teamwork, smooth project execution, and compliance with funding requirements.

Your Tasks

  • Establishment of processes and definition of workflows for reporting and monitoring research results
  • Maintenance and control of the research information system
  • Independent planning and execution of meetings, planning, and organization of scientific workshops (including scheduling, room booking, preparation, and communication)
  • Support in reporting and outreach
  • Management of planned and ongoing third-party-funded projects
  • Supervision and administrative contact for guest scientists and invited speakers
  • Communication and coordination with internal and external collaborators

Additionally, the Research Coordinator will assist the scientific core group leaders with general administrative tasks, including travel planning and coordination, organizing research meetings and workshops, and supporting scientists with complex and extensive purchase requests (e.g., laboratory equipment) in the AWI procurement system.

Your Profile

  • Scientific degree (Bachelor)
  • Initial experience in scientific management or coordination
  • Willingness to learn and understand funding guidelines, including program-oriented funding
  • Familiarity with or willingness to learn AWI administrative processes and third-party funding regulations
  • Very good English and German knowledge (C1 level equivalent)
  • Advanced proficiency in standard office software
  • Strong problem-solving skills and ability to work independently
  • Strong organizational and multitasking abilities for handling administrative and logistical tasks
  • Willingness to participate in relevant training sessions

Preferred Qualifications and Skills

  • Initial experience in grant application processes
  • Knowledge of interdisciplinary biodiversity research and understanding of core HIFMB research questions
  • Basic knowledge of procurement processes
